Schools are reminded to submit June/final course marks to TRAX by July 12 to ensure students’ transcripts are up to date for their graduation and post-secondary institution selections.
Schools should start reporting final June grades as soon as they are available to ensure completion of their final TRAX Data Upload on the School Secure Web (SSW) by July 12, 2024. Accurate and timely data submissions are needed to produce students’ final year-end transcripts, graduation certificates, or school completion certificates. Final transcripts will be sent to students’ post-secondary institution (PSI) selections by July 31.
Early submission of TRAX files also enables the Ministry to manage the high volumes of incoming data.
What Should be Included with this TRAX Submission
- Final marks for all completed Grade 10, 11 and 12 courses
- A SCCP completion date in YYYYMMDD format for students whose Primary Program of Study is recorded as “SCCP” for the School Completion Certificate Program (reminder: this is not a graduation program)
If necessary, you may continue to resubmit TRAX files to correct any errors up until July 12.
How to Upload TRAX Data and Confirm Receipt
TRAX data submission instructions can be found on the Electronic Transfer Procedures web page.
If files are submitted by 4 pm, the following student and school summary reports on the SSW should update to reflect any new submissions or changes overnight:
- Transcript Verification Reports (TVR)
- Student Transcript Previews, including XML transcript previews
- Projected Non-Graduates – Summary Report
- Graduation Summary Reports
